Venue Manager guide: members, check-ins and table bookings

How to use the Venue Manager portal in Cue Sense: choose how players join, run memberships and renewals, see today's check-ins and manage table bookings, walk-ins and blocked tables.

Updated

The short answer: Open Venue Manager from the menu in the Cue Sense app and pick your venue. The status tiles show registered players and renewals due in the next 2, 4 and 6 months. Below them you'll find today's check-ins, live table bookings with walk-ins and blocks, join requests and the full list of registered players, where you can renew a membership in one tap.

Venue Manager is the part of Cue Sense for pubs, clubs and pool halls. Open it from the menu in the app (Venue Manager Portal) and choose your venue from the drop-down at the top.

1. Choose how players join

Under Join requests, pick one:

  • Anyone can join instantly.
  • Players must be approved. Requests wait here until you accept or decline them.

Tick This venue has memberships if you run memberships. You can then turn on emails for members whose membership is 5 days from ending and for members whose membership has expired.

2. Keep on top of renewals

The Status tiles count your registered players and the renewals due in 2, 4 and 6 months. Each player is counted in one window only. Tap a tile to filter the player list to exactly those people.

3. Renew in one tap

Registered players lists everyone at your venue with their expiry date. Search by name, or show only expired memberships. On a player’s row:

  • +1 mo or +12 mo extends their membership.
  • Remove from venue takes them off your list.
  • Badges show when a reminder or expiry email has been sent.

Membership is paid at your venue. Cue Sense keeps the dates, renewals and reminders.

4. See who’s in today

Checked in shows today’s check-ins as they happen. Players check in with a tap of their card or the NFC tag on your bar. Tap a name to see their membership and recent visits.

5. Manage table bookings

Table bookings lists bookings from your linked Wix booking site, day by day, updating live.

  • Book walk-in takes a table off online booking for someone who’s just walked in.
  • Book table(s) for a day reserves one or more tables.
  • Block book table(s) for a day blocks tables, for example for a league night. Unblock all releases them.
  • Each booking shows if the customer needs to pay, and you can Cancel it.

Members with an active membership can also book a table from My Bookings in their own account.

6. Marketing review

If your venue uses the Wix Marketing Agent, Marketing review lists its drafted social posts, emails and blog posts by day so you can approve or dismiss each one. It only records your decision. To publish, approve the item in the Wix Marketing Agent.

Hosting leagues

Venue Manager and League Manager share one Cue Sense account. Restrict a league to your venue so only your members can register, and put the Arena display on a TV so everyone can see tonight’s matches. See the League Manager guide.

Common questions

Can I run my venue without memberships?

Yes. Turn memberships off and players are simply registered at your venue. Dates, renewals and expiry emails are hidden, and check-ins and bookings still work.

Do members get reminded to renew?

Yes, if you turn it on. Members can be emailed 5 days before their membership ends and again once it has expired, and the player list shows which emails have gone.

Can bar staff use it?

Yes. Bar staff get their own Bar Staff Portal with just the venue tools they need, limited to your venue.

I manage more than one venue.

Switch venues from the drop-down at the top of Venue Manager. Each venue keeps its own members, check-ins and bookings.
